What identifiers might a cloud account use?¶
A cloud account may use several identifiers at the same time.
These can include an email address, username, telephone number, customer number, tenant identifier, internal account ID, user ID, directory object ID or recovery address.
What this means in practice¶
Usernames and email addresses can change. Display names can be duplicated. Telephone numbers can be reassigned. An organisation may rename an account when an employee changes role or when the account is transferred.
What this may show¶
Providers often rely on internal identifiers that remain stable even when the visible account details change. Those identifiers can be critical when requesting records or comparing logs.
Also record historical identifiers where available. An account may previously have used another email address, username or telephone number. Old identifiers may continue to appear in logs, file ownership records or linked applications.
In organisational environments, the same person may have several identifiers across the cloud provider, the company directory and a federated identity service. One system may record the user’s email address while another records an opaque internal ID.
Precise identifiers reduce the risk of requesting the wrong account, missing historical records or misreading activity from another user with a similar name.
What this does not show on its own¶
The dangerous assumption is that the visible username is the account’s only reliable identifier.

Record every identifier you can lawfully obtain. Distinguish between display name, login name, email address, internal user ID, tenant or workspace ID and any provider case or customer reference.
Do not assume that two matching names mean the same account, or that two different names mean different users. Compare stable internal identifiers, tenant context, creation records, recovery details and linked sessions.
