Could cloud data change while I am viewing it?

Yes. Cloud data can change while it is open on screen, even if the investigator does nothing.

Avoid this assumption: The visible page is a fixed copy. Other users, automated systems, synchronisation tools and retention processes may alter the same material remotely.

A shared document may be edited. A file may be renamed, moved or deleted. Permissions may change. New versions may appear.

The page may refresh automatically and replace the state first observed.

Before interacting, record the service, account, tenant, page, file or folder, time and visible content.

Capture any live collaborator indicators, edit markers, sync status, version notice, update banner or deletion warning.

If content changes, record the time it was first noticed and distinguish the earlier visible state from the later one.

Do not refresh manually simply to obtain the newest version. That may remove the original view and create additional audit activity.

Consider whether photographs, provider preservation, version history or specialist acquisition should be used to preserve the earlier state.

Do not assume that the latest version is the version relevant to the investigation.

Where several users may be active, preserve visible usernames or collaborator labels but keep account identity separate from personal attribution.

Record any loss of access, error, conflict or automatic reload.

Record whether the page shows autosave, collaborative editing or retention notices, because these may explain why the content changes without a visible user action.

Operational takeaway

Treat cloud content as a live shared state, preserve what is visible immediately and document every automatic or remote change without unnecessary refresh.
