What should be preserved about a group voice or video call?¶
Preserve the changing participant timeline, not just the final roster. Group calls can have different people invited, connected and active at different moments, alongside text, file and recording events.
Capture identity and time together¶
Retain the call, meeting, group or channel identifier; start and end times; stable participant account IDs; display names; roles; invitations; and join, leave or reconnection events. Device or session information can help distinguish an account from the endpoint used.
The visible list may show only current participants or mutable display names. Organisational audit and meeting records can provide historical events and administrative actions that a participant's screen omits.
Preserve parallel activity¶
Screen sharing, chat messages, reactions, file transfers and recording changes may carry their own identifiers and times. Preserve these native records and any produced files separately, while maintaining their relationship to the call.
Connection duration does not show that a participant heard, saw or agreed with all content. Someone may join briefly, lose connectivity, remain muted or leave before a relevant exchange. State whether the evidence shows invitation, connection, duration, active contribution or another defined event.
The point to remember
Reconstruct a group call as a time-based set of participant and activity events, using stable identities rather than relying on its final visible roster.
