How should I search for email addresses?

Search the full address, local part, domain and linked account fields, then distinguish communication from registration or stored content.

An email address can appear across a mobile extraction in several different roles.

Search the complete address first.

That is the most distinctive form and the easiest result to explain.

Then search the local part before the at sign where it is sufficiently unusual.

A username such as steve.atkin78 may appear in another application without the email domain.

Search the domain separately as well.

That may identify other addresses, browser visits, application settings, downloaded files or correspondence connected to the same organisation.

Be cautious with common domains.

A search for gmail.com may produce thousands of results with little investigative value.

Use the full address or distinctive local part to narrow the work.

Consider variations and errors.

The address may contain capital letters even though many email systems treat them without practical case distinction.

It may be URL encoded.

It may appear inside a longer login string, account database or web address.

A copied address may contain an invisible space or a misspelling.

Search a trusted exact version before testing plausible variants.

Now identify the role of the match.

An address in an email artefact may be the sender, recipient, reply address or another header field.

An address in a contact record may simply have been stored.

An address in an application account record may identify the account registered on the device.

An address in a recovery or security setting may link one account to another.

An address inside a message body or document may have been discussed without being used by the device owner.

An address in browser history may show that a login page or account-management page contained it.

The same string can therefore support very different conclusions.

Look for linked identifiers.

An account artefact may connect the email address to a display name, application user ID, profile image, telephone number or device token.

Preserve those links, but keep the source clear.

An address saved in a contact does not prove the contact controlled it.

An account database showing the address as the signed-in identity is stronger evidence of association with that application.

It still does not automatically identify the human user.

Search across artefact categories.

The address may appear in native email, messaging applications, password managers, browsers, cloud accounts, app stores, calendars, documents and notifications.

A global hit list may contain duplicates from several of those sources.

Review each source rather than counting every hit as separate activity.

Also check whether the report contains email data at all.

A phone may use a cloud-based mail service while storing only a recent cache or account configuration locally.

The absence of messages does not necessarily mean the address was unused.

The common mistake is:

“This email address appears on the phone, so it belongs to the owner.”

The evidence may show that the device stored, received or displayed the address.

Ownership or control needs account, provider or contextual corroboration.

Another mistake is to search only the full address and miss the same username used across other services.

A good search records:

the exact address;

local-part and domain variations;

the artefact type;

the role of the address;

the linked account or participant;

the time;

and the source path.

Search the string widely.

Interpret the relationship narrowly.
