What is settlement?¶
Settlement is the stage at which the financial obligations created by a payment are completed between the institutions involved.
Avoid this assumption: A payment is settled as soon as the customer sees it approved.
A card payment may be authorised first, with funds reserved, and settle later when the merchant submits the transaction for completion.
A bank transfer may appear immediately in a customer interface while the institutions still complete their own processing and reconciliation.
Settlement timing varies by payment method, provider, currency and system. It may occur in real time, later the same day or after a longer delay.
A transaction can therefore be authorised but not settled. It may also be reversed, adjusted or cancelled before final settlement.
The settlement date may differ from the authorisation, transaction or posting date. Investigators should record which date each source is showing.
Settlement records can help confirm that value moved between institutions, but they do not necessarily show when the customer initiated the payment or when the recipient first saw it.
They also do not prove who made the payment. Settlement is a financial-system event, not a personal attribution event.
Useful records may include settlement references, batch numbers, clearing information, amount and currency, fees, exchange-rate details, receiving institution and linked authorisation or transaction IDs.
For merchant payments, settlement may occur in aggregated batches rather than as one direct movement for each customer transaction. The merchant’s bank record may therefore not mirror the customer’s card statement exactly.
For international or cross-provider payments, intermediaries may create additional records and deductions.
When reconstructing the timeline, distinguish the customer instruction, provider authorisation, processing events, posting and settlement.
Where the record uses the term “completed,” ask whether this means completed for the customer, the provider or the receiving institution.
