PAY-018 Payments & Banking

What is the difference between a pending and completed transaction?

A pending transaction has been recorded but has not yet reached the provider’s final completed state.

Avoid this assumption: Pending means the money has definitely left, or that completed means every stage is finished and irreversible.

A pending card payment may represent an approved authorisation where funds have been reserved but the merchant has not yet completed settlement.

A pending bank or wallet transaction may still be undergoing checks, processing, confirmation or receipt by another service.

During this stage, the amount, description or status may change. The transaction may complete, expire, reverse, fail or be replaced by a final posting.

A completed transaction usually means the provider considers the payment successfully processed according to its own system. That does not always mean the same thing across providers.

One service may mark a payment completed when it has been sent onward. Another may do so only after settlement or blockchain confirmation.

Completed also does not necessarily mean irreversible. Refunds, chargebacks, reversals, disputes or later corrections may still occur.

The distinction matters when assessing loss and timing. A pending transaction may reduce available funds without creating a final statement entry. A completed entry may display a different date from the original authorisation.

Preserve both states if possible. Record screenshots, timestamps, transaction references, status wording and any later changes.

Ask the provider what pending and completed mean within its system. Request linked authorisation, processing, posting, settlement, reversal or refund records.

Do not rely solely on a customer application. Provider records may show more detailed status information and internal timestamps.

When reporting, state the status at the time observed and identify whether the record later changed.

This is particularly important in fast-moving fraud investigations, where a payment that appears pending may still be capable of intervention.

Operational takeaway

Record the exact payment status and provider meaning, and do not treat pending as final or completed as necessarily irreversible.
