What is a merchant descriptor?

A merchant descriptor is the name or text shown on a card statement to identify the merchant or payment recipient.

Avoid this assumption: The descriptor always matches the shop, website or business name known to the customer.

The descriptor may use a legal company name, trading name, parent company, payment processor, abbreviated text or location information.

Online marketplaces, subscription services and franchise businesses may display descriptors that differ significantly from the customer-facing brand.

A descriptor may therefore appear unfamiliar even where the transaction is genuine.

It can still be valuable for identifying the acquiring bank, processor or merchant account involved.

Preserve the descriptor exactly as shown, including punctuation, location codes, telephone numbers and abbreviations.

Use it with the amount, date, transaction reference, merchant category code, card details and authorisation information.

Ask the issuer or processor to identify the merchant account linked to the descriptor.

Ask the merchant for order, account, delivery and customer records where relevant.

Do not rely on internet searching alone to identify the business. Descriptors can change, be reused or be associated with payment facilitators.

A misleading or generic descriptor does not automatically prove concealment or fraud. It may simply reflect the merchant’s payment arrangement or statement configuration.

When reporting, distinguish the displayed descriptor from the verified legal entity and the actual seller or service provider.

Operational takeaway

Preserve the full merchant descriptor and use provider records to identify the legal merchant, processor and underlying transaction rather than relying on the displayed name alone.
