What is an order ID?¶
An order ID is an identifier created by a merchant, marketplace or service to distinguish a particular order.
Avoid this assumption: An order ID is the same as the payment transaction reference.
The order ID usually belongs to the merchant’s sales or account system. The payment processor, bank or card issuer may create separate identifiers for the same transaction.
One order may involve several payment attempts, split payments, refunds or replacement payments.
Likewise, one payment may cover several items within the same order.
The order ID can help locate account details, goods or services, billing information, delivery information, communications and fulfilment records.
Preserve it exactly as shown, including letters, punctuation, prefixes and leading zeros.
Record where the identifier appeared: receipt, email, application, website, invoice or merchant export.
Ask the merchant to identify all payment references linked to the order.
Also ask whether the order was amended, cancelled, refunded, split or fulfilled in several stages.
Do not assume that the person named on the order placed it. Account compromise, shared accounts, guest checkout and false details are possible.
Delivery or collection records may provide stronger evidence about who received the goods.
Where the order relates to digital goods or services, obtain account-use, download or redemption records.
Do not use the order ID as proof of payment. An order can exist without a successful transaction.
When reporting, distinguish the order identifier from the payment and settlement references.
Operational takeaway¶
Use the order ID to locate the merchant’s complete order and fulfilment records, and link it carefully to the separate payment identifiers.
