What identifiers should be preserved from a payment record?

Preserve the complete record and every account, instrument, transaction, provider and network identifier exactly as displayed.

Capture identifiers for the payment type

Bank transfers may show account and routing details, IBAN or BIC, beneficiary, transaction ID, reference, status and several times. Card records can add masked card, merchant and terminal IDs, authorisation code and card-present status. Payment services may expose account handles, funding source and dispute references; crypto records can include full addresses, transaction hash, asset, network, block data and destination tags.

Keep provenance and formatting

Record whether each value came from a statement, export, application, receipt, email, device extraction or blockchain explorer. Retain the original file or full screen and note cropping or masking. Do not normalise case, spaces, prefixes or leading zeros: one altered character can identify a different object.

The point to remember

Preserve payment identifiers in exact original form with their source and event context so records can be reliably matched across systems.
